What are your typical hours?List Item 1
We work around our clients work requirements. We are around during the business day and can work on projects outside of the usual working hours (evenings & weekends). As we work with clients from a broad range of industries and not restricted to the 9-5

What does the Discovery Call entail?
During this call, we will discuss what is causing overwhelm, impact on your time, any support requirements. We can also review any pain points or areas where you may be stuck and come up with a solution together.

How does billing work?List Item 3
All packages are charged on a monthly basis on the first of the month. You can start your package on any day of the month and we’ll pro-rate it. All additional costs (expenses, etc.) will be charged to the subsequent month’s bill.

Are your team insured?List Item 4
Confidentiality is a primary concern here, and we strive to make sure that everyone feels 100% confident that discretion is key to everything we do. All of our team have signed Non-Disclosure Agreements, have been thoroughly vetted and hold all the relevant compliance and insurance that is required of our industry.

How do your services work?
Because relationships are so important for a successful result, you will have a dedicated virtual assistant for all on-going support. This is someone that will know you, know the business and know how you like to do things. This is the same no matter which plan you use.

Will you use my branded email?
Not a problem. In this case, the best solution is to use a branded email so your virtual assistant can send and receive emails from your domain instead of their virtual PA email.

What is an on-boarding call?
Our onboarding call consists of an in-depth overview of our task management system and gives us time to receive our first set of tasks.

Are you compliant with GDPR?
We are fully compliant and registered with the ICO. We ask you invite your virtual assistant to your existing platforms such as your company CRM, Dropbox or Google Drive, using the company domain email provided or their virtual PA email address.
We act as ‘data processor’ for you and you are the ‘data controller’. Your VA will follow all your data protection policies. You have full control on permissions and can revoke access at any time. We carry out monthly audits to ensure no information is stored on the devices of the virtual assistants.

What do we discuss during the regular update?
Each package over 20 hours per week includes a weekly 15 minute check-in call. During these calls we can review completed tasks and assign new ones. For all other packages we agree independently how we will update you (i.e. Project Management tool, email update or call)

How do you record the time used?
We use a time recording system and will keep you updated so you can keep track of your usage. We send you a timesheet every month (or more often if you’d prefer). We will also let you know when you’ve used 75% of your minimum commitment before asking if you would like your VA to work beyond on this or stick to your pre-agreed hours.

How does your pricing work?
We like to keep things simple which is why we are a pre-paid service. We will bill you upfront at the start of each month If you’ve used any extra hours, we will add these to your next invoice.
As we continue to work together, feel free to adjust your hourly coverage as your business needs.

How will I know when my Virtual Assistant is working for me?
Because of the way we operate, we don’t block out time for clients unless expressly agreed. Instead, we manage our time depending on the upcoming deadlines. So long as you have agreed a timeframe for a piece of work, you can rest assured that your virtual assistant will deliver to your expectations. We keep you updated and let you know if there are any issues with timing. We will also work with you reassign and manage expectations of time to ensure the best use of your time.

What do I do if I have more work for my VA?
If you’ve used all of your hours but still have more work, then you can set a new maximum time limit for your virtual assistant to work to. This extra time is charged to the minute – for example, if you use 15 minutes above your regular commitment, then that’s all we’ll charge you for.

Do you provide holiday cover when my VA is off?
Yes of course. We will always tell you about planned holidays in advance and for plans of 10 hours or more per week we will always ensure that cover is provided so that we can ensure a smooth handover.

Are there any tasks you won't help me with?
As expected, we operate with integrity and have the right to refuse any tasks that we believe to be illegal, exploitative or dangerous. We will also refrain from any tasks requiring cold-calling or spam email campaigns.

How do I communicate with you?
Simply, whatever works for you to make your life easier. Whether that be email, WhatsApp, voice notes, DM or a phone call. We don't care how you get in touch, we just care that you do!

Can my VA attend on-site meetings?
Your virtual assistant is fully remote and will not be able to attend on-site meetings – this is what makes a virtual assistant service such an affordable resource. Because we’re remote working experts, your virtual assistant will integrate into your business so quickly you’ll wonder how you survived without them.
For example:
They could dial into your meetings to take meeting notes.
They could manage webinars on your behalf (even handling all the tech support).
They can even co-ordinate those multi-time-zone meetings, confirm attendance from all parties and then circulate a meeting recording to anyone who missed the call.
Need some help? Your virtual assistant is almost guaranteed to find a way to make things happen.

What do we need to do to get started?
We're delighted that you're thinking ahead! If you're interested in using our services, simply book in a call, we'll use that time to learn more about you, the business and assess the level of support you require.
We'll then submit a proposal and contract for your review and once we've received a signed copy, we'll schedule a kick-off call to get the ball rolling.

Do you take Minutes for Client or Board Meetings?
Yes! Taking minutes of meetings is quite a specialised skillset and as such we would offer this as a stand-alone service at an agreed rate. For other meetings, we would be happy to attend remote meetings to capture action points and minute.
